Billing

Your credit balance, adding credits, auto top-up, your saved card, Enterprise sites, recent activity and invoices, all on one page.

Open Billing from the sidebar, or go to app.ivyl.ink/billing. Billing belongs to your account, not to one site, so it works even before you've added a site. Credits pay for Ivy Link's reports and agent work. One credit is one dollar.

This page walks through what you see on Billing. For step-by-step how-tos on buying credits and auto top-up, see Credits.

What's on the page

From top to bottom:

  1. Your site's address (or Account), the heading Billing, and the line "Credits pay for Ivy Link's reports and agent work. One credit is one dollar."
  2. Any notices, such as a payment that just went through. See Notices at the top.
  3. The Credit balance card, with the Add credits button.
  4. The Auto top-up card and the Payment method card, side by side.
  5. Enterprise, if any of your sites are on Enterprise or have asked for it.
  6. Activity: credits added and work spent over the last 90 days.
  7. Plan, only on older accounts that still have a monthly subscription.
  8. Invoices, when you have any.
  9. A footnote saying where receipts go, with an Edit billing details button.

Credit balance

The balance card shows:

  • Credit balance: your balance in dollars. If work ran past zero, it shows with a minus sign.
  • A status line under the amount:
    • Auto top-up on · adds $X below $Y when auto top-up is on.
    • Auto top-up off when it's off.
    • Auto top-up off · Balance is low when auto top-up is off, your balance is under $5, and you've bought credits before.
  • The Add credits button. Your saved card shows under it, for example Visa •••• 4242.

Three figures sit along the bottom of the card:

Figure What it shows
Spent this month What your sites have spent since the start of the calendar month (UTC). It includes work that is running right now, at the amount set aside for it.
Added all time The total credits added to your account so far.
Agent budget A Set in Settings link that opens the Agents section of Settings. Your agents' budget is set per site in Settings, not here. See Budgets.

All your sites share this one balance. Each site has its own agent budget.

When the balance is low

When your balance can't cover the next job, your agents pause. They never switch to cheaper work to fit. Home shows an Agents paused pill until you add credits, and they start again as soon as the balance covers the next job.

To keep this from happening, add credits or turn on auto top-up. Ivy Link also emails you once when your balance is down to about a week of work, and once if your agents pause. Neither email is sent while auto top-up is on and working. See Emails.

Add credits

Click Add credits to open the dialog. You can also go straight to app.ivyl.ink/billing?add=1, which is where the Top up link on Home goes.

The dialog has:

  • Amount: in US dollars, starting at 50. The hint reads "Between $10 and $500." Cents are allowed.
  • Quick amounts: $10, $25, $50, $100, $250 and $500.
  • A summary: Credits, Current balance and Balance after.
  • Pay with:
    • Your saved card, for example Visa •••• 4242, marked "Charged now, credits added instantly".
    • A different card (or Card if you have none saved), marked "Secure checkout on Stripe. The card is saved for next time."
  • The button: Pay $X for your saved card, or Continue to payment for a new card.

The fine print says credits don't expire while your account is active.

What can go wrong

Message What it means What to do
Enter an amount between $10 and $500. The amount box is empty. Type an amount.
The minimum is $10. or The maximum is $500. The amount is outside the range. Pick an amount from $10 to $500.
Enter a dollar amount, like 50 or 50.25. The amount isn't a dollar figure. Type a number like 50 or 50.25.
Your card was declined. Try a different card with Stripe Checkout. Your bank refused the saved card. The dialog switches to a new card. Pay with a different card on Stripe.
Stripe didn't respond, so nothing was charged. Try again in a minute. The payment service didn't answer. Wait a minute and try again.

If your bank needs to confirm a saved-card payment, you're sent to Stripe to finish it. Clicking the pay button twice only charges you once.

The full steps are in Credits.

Auto top-up

The Auto top-up card ("Keep work running without watching your balance.") has an on/off switch and one sentence you fill in:

When my balance falls below $__ add $__ from my Visa •••• 4242.

  • The threshold can be $5 to $500. It starts at $10.
  • The amount added can be $10 to $500. It starts at $50.
  • The hint reads: "Top-ups are $10–$500; the threshold can be $5–$500. Your balance is checked before each job and every few minutes."

When you flip the switch, the card says On — save to apply or Off — save to apply. Nothing changes until you click Save.

If a value is out of range, an error shows under the sentence, for example The minimum threshold is $5. or The maximum amount is $500. Fix it and click Save again.

If your balance is already below the new threshold when you save, your card is charged straight away. Auto top-up also adds credits when a job is about to start and your balance can't cover it, even if you're above the threshold. It charges at most 5 times in any 24 hours.

Auto top-up needs a saved card. Without one, the card says "Auto top-up needs a saved card. Add credits once, or save a card." Trying to turn it on anyway shows Add a card to turn on auto top-up.

If an auto top-up fails because the card was declined, needs your bank's confirmation, or is missing, auto top-up turns itself off. Billing shows Auto top-up was turned off with the reason and the date, then "Nothing more will be charged." Use the Update your card and turn it back on link to fix it. You also get an email. If the payment service just didn't answer, auto top-up stays on and tries again.

With auto top-up off, your agents pause when the balance runs out. See Credits for how to turn it on and off.

Payment method

The Payment method card ("Used for one-click top-ups and auto top-up.") shows your saved card:

  • The card brand and last four digits, for example Visa ending in 4242.
  • The expiry date: Expires 08/2028, Expires soon · 08/2028 within 45 days of expiry, or Expired · 08/2028.
  • A Default tag.
  • The line Stored by Stripe, never on Ivy Link.
  • A Replace card button, or Add card if none is saved.

Clicking Replace card or Add card opens Stripe. Saving a card there charges nothing. Back on Billing you see one of:

  • Card saved: "It's now the card for one-click top-ups and auto top-up."
  • Card not changed: you closed Stripe before saving.
  • The card wasn't saved: try again, or use a different card.

If you have no card yet, the card reads No card saved and "Your card is saved the first time you add credits." Any card you pay with on Stripe becomes your saved card if you didn't have one.

Enterprise

This section only shows when one of your sites is on Enterprise or has asked for it. It reads: "Ivy Link pays for the agent work and reports on each site on Enterprise, so they never use your credits."

Each site gets a row with:

  • The site's address.
  • A pill: Active, Payment due or Requested.
  • The billing line: $1,000 a month · Renews and a date (or Renews monthly), $1,000 a month · Ends and a date, Arranged with Ivy Link for a plan set up with us directly, or for a request, We'll be in touch by email.
  • Manage for the site you're on, which opens its Enterprise settings. For any other site, Switch to this site.

Enterprise is $1,000 a month per site, billed separately from credits. You manage it in that site's Settings. See Enterprise.

Activity

Activity lists "Credits added and work spent, last 90 days." Use All, Added or Usage to filter it. The table has Date, Description and Amount columns. Credits added show with a plus sign, work spent with a minus sign. Work spent is grouped by day and site.

Rows you'll see:

Row What it is
Credits added A purchase, marked Stripe Checkout or Saved card.
Auto top-up An automatic top-up, marked Saved card, balance below threshold.
Site report A report for one of your sites.
An agent job's name, such as Technical review, or Agent work What your agents spent that day on a site.
Refund or Adjustment A change Ivy Link made to your balance.

Right after you add credits, the new row is highlighted and the balance counts up to the new figure.

With nothing yet, the card says No activity yet and "Credits you add and the work they pay for will show up here."

You aren't charged for a report that failed or was cancelled, or for anything on a site while it's on Enterprise.

Invoices and receipts

Receipts are emailed to the billing address shown in the footnote: "Receipts go to (your email). Payments are processed securely by Stripe."

When Stripe has invoices for your account, an Invoices table shows the last 12:

Column What it shows
Date Links to the invoice on Stripe.
Invoice The invoice number.
Amount The total.
Status Paid, Due, Unpaid or Void. A Due invoice has a Pay now link.
PDF A Download link.

If you have more than 12, See older invoices opens Stripe's billing portal. Edit billing details in the footnote opens the same portal. Both bring you back to Billing.

Credit purchases are one-off payments, so the Invoices table may be empty if you only buy credits. Your receipts still arrive by email. For a copy of anything, email hello@ivyl.ink.

Plan (older accounts)

Accounts that signed up before credits may still have a monthly plan. It shows as an Ivy Link card with a status pill (Active, Trial, Ending, Payment failed or Ended), the monthly price, and dates such as Renews, Ends or Started.

  • Cancel plan opens Stripe to cancel. You come back to Your plan is canceled, and the plan stays active until the end date.
  • Renew plan undoes a cancel before the end date.
  • Email us to restart shows once the plan has ended.

If a plan payment fails, Billing shows Your last plan payment didn't go through and "Update your card to keep your plan running."

New accounts don't have a plan. They buy credits only. See Cancel and refund.
